Marketing and Publicity
Lead Responsibilities:

• Develop strategies to promote VRCC and its yearly events
• Oversee the creation and distribution of announcements for both online and print media
• Coordinate with local outlets and community to maximize outreach
• Monitor the effectiveness of marketing campaigns

Support Responsibilities:

• Assist with the creation of marketing materials including flyers, posters, and social media posts
• Help manage and update the VRCC calendar with upcoming events
• Support the Lead in coordinating with local businesses for promotional partnerships
• Distribute marketing materials at community centers and events

Website and Social Media
Lead Responsibilities:

• Oversee the creation and maintenance of the VRCC website, blog, and social media channels
• Develop a content calendar to ensure regular and engaging updates
• Analyze metrics to improve engagement and reach
• Coordinate with other teams to ensure event information is accurately represented online

Support Responsibilities:

• Assist in creating and scheduling posts for social media and the blog
• Help update the website with timely event information and news
• Monitor social media channels and respond to inquiries
• Support the Lead in analyzing metrics and suggest improvements

Event Setup and Event Day Assistance
Lead Responsibilities:

• Coordinate the logistics of event setup including gathering supplies and materials
• Oversee the setup of event areas ensuring everything is in place and ready
• Manage a team of volunteers during event days to assist with various activities
• Ensure compliance with safety and health regulations during events

Support Responsibilities:

• Assist with the collection and transportation of event supplies
• Help set up event spaces under the direction of the Lead
• Provide support during events by managing activity stations and assisting participants
• Help with the cleanup and breakdown of event spaces post-event

Volunteer Coordination
Lead Responsibilities:

• Develop and maintain a database of potential volunteers for club events
• Coordinate with partner organizations to establish a reliable pool of volunteers
• Organize volunteer orientation and training sessions
• Ensure volunteers are properly assigned and briefed on their duties

Support Responsibilities:

• Assist in reaching out to potential volunteers and maintaining the volunteer database
• Help organize and facilitate training sessions for new volunteers
• Support the Lead in coordinating with partner organizations
• Assist in assigning and supervising volunteers during events

Memorial Day Race Management
Lead Responsibilities:

• Work closely with the race director to plan and execute race day activities
• Coordinate logistics including registration, course setup, and timing
• Oversee a team of volunteers to ensure smooth operations on race day
• Manage post-race activities and ensure all participants have a positive experience

Support Responsibilities:

• Assist with pre-race preparations including registration and packet pickup
• Help set up the race course and manage water stations
• Provide support on race day by assisting participants and managing logistics
• Help with post-race activities including cleanup and awards ceremony

Donation and Sponsorships
Lead Responsibilities:

• Develop a fundraising strategy to solicit funds from individuals and businesses
• Coordinate with potential sponsors and manage relationships
• Oversee the creation and distribution of thank you cards to donors and sponsors
• Track and report on fundraising progress and allocate resources accordingly

Support Responsibilities:

•  Assist in reaching out to potential donors and sponsors
• Help create promotional materials for fundraising campaigns
• Support the Lead in managing sponsor relationships
• Assist with the preparation and mailing of thank you cards

Event Giveaways
Lead Responsibilities:

• Identify and secure event giveaway items such as t-shirts, raffle prizes, and race awards
• Coordinate with suppliers and sponsors to ensure timely delivery of items
• Oversee the distribution of giveaway items during events
• Manage inventory and ensure all items are accounted for

Support Responsibilities:

• Assist in identifying potential giveaway items and suppliers
• Help with the distribution of giveaway items during events
• Support the Lead in managing inventory and supplier relationships
• Assist in organizing and preparing giveaway items prior to events

Community Engagement
Lead Responsibilities:

• Develop and implement activities to further the goals of VRCC
• Organize group runs, bike rides, and clinics to engage the community
• Coordinate with local organizations to promote community involvement
• Monitor and evaluate the success of engagement activities

Support Responsibilities:

• Assist in organizing community activities and events
• Help promote engagement activities through various channels
• Support the Lead in coordinating with local organizations
• Gather feedback from participants to improve future activities

Safety Squad
Lead Responsibilities:

• Coordinate with the Safety Squad, comprised of 5th-8th graders
• Ensure all safety protocols are followed during events
• Organize training sessions for the Safety Squad members

Support Responsibilities:

•  Assist with planning and executing safety-related activities
• Help coordinate with the Safety Squad and ensure their participation
• Support the Lead in organizing training sessions
• Help monitor safety protocols during event
